Privacy notice

What we collect when you request a quote, send a message or ship with us — why we hold it, who sees it and how to get it back.

Who we are

RapidCourierGo ("RapidCourierGo", "we", "us") is the data controller for personal data processed through this website and through the freight services we provide. We are registered in the Netherlands with our registered office at One Meridian Quay, Global Trade Centre, Rotterdam.

This notice explains what personal data we collect, why we collect it, how long we keep it and what rights you have over it. It applies to visitors to this website, people who request quotes or send us messages, and the shipper and consignee contacts recorded against a consignment.

What we collect

We collect only what we need to quote for, arrange and evidence the movement of freight:

  • Contact details you give us — name, company, job title, email address, telephone number and country.
  • Consignment details — shipper and consignee names, addresses, contact numbers, and a description of the goods.
  • Commercial details — declared values, Incoterms, payment arrangements and any account references.
  • Correspondence — the content of quote requests, contact form messages and emails you send us.
  • Technical data — IP address, browser type and pages visited, collected in server logs for security and troubleshooting.

We do not collect special-category personal data, and we ask that you do not include any in free-text fields such as cargo descriptions or message bodies.

Why we process it

Each category of data is processed on a specific legal basis:

  • To prepare a quote and perform the transport contract you have asked us to enter into (contractual necessity).
  • To comply with customs, aviation security, maritime and sanctions-screening obligations (legal obligation).
  • To keep the network secure, investigate incidents and defend legal claims (legitimate interests).
  • To send service updates about a consignment you are party to (contractual necessity).
  • To send marketing about services you have not bought, only where you have opted in (consent), which you may withdraw at any time.

Who we share it with

Freight cannot move without the data moving with it. We share the minimum necessary with:

  • Carriers, airlines, shipping lines, rail operators and hauliers performing the transport.
  • Customs authorities, port and airport authorities, and security screening agencies where legally required.
  • Customs brokers and partner agents handling a leg of the journey on our behalf.
  • Insurers and, where a claim arises, appointed surveyors and loss adjusters.
  • Professional advisers and auditors under duties of confidentiality.

We do not sell personal data and we do not share it with advertising networks. Partner agents are bound by written agreements requiring the same standard of protection we apply ourselves.

International transfers

We operate in 142 countries, so consignment data is routinely transferred outside the country of origin — that is inherent to international freight. Where data leaves the European Economic Area to a country without an adequacy decision, we rely on the European Commission Standard Contractual Clauses together with a transfer risk assessment.

Customs and security disclosures required by the law of a destination country are made under the legal obligation basis and cannot be opted out of if you wish the shipment to proceed.

How long we keep it

Retention is driven by the longest applicable legal requirement rather than by convenience:

  • Consignment and customs records: seven years from the date of the movement, as required by customs and tax law.
  • Quote requests that do not convert: twenty-four months, so we can price a repeat enquiry consistently.
  • Contact form messages: thirty-six months from last correspondence.
  • Server and access logs: twelve months.
  • Marketing consents and opt-out records: retained for as long as needed to honour the preference.

Your rights

Subject to the exemptions in applicable law, you may request access to the personal data we hold about you, ask us to correct inaccuracies, ask us to erase data we no longer have a lawful basis to keep, ask us to restrict processing while a dispute is resolved, object to processing based on legitimate interests, and receive a copy of data you provided in a portable format.

Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal. Note that we cannot erase records we are legally required to retain for customs and tax purposes.

To exercise any of these rights, write to legal@rapidcouriergo.com. We respond within one month. If you are not satisfied with our response you may complain to your national supervisory authority; in the Netherlands this is the Autoriteit Persoonsgegevens.

Cookies

This website uses strictly necessary cookies only: a session cookie that keeps you signed in where applicable, and a cross-site request forgery token that protects form submissions. Both are required for the site to function and neither is used for analytics, profiling or advertising.

We do not deploy third-party tracking cookies, advertising pixels or cross-site fingerprinting. If that changes we will ask for your consent before setting anything beyond the strictly necessary set.

Security

Traffic to this site is encrypted in transit. Access to consignment records is restricted to authenticated staff on a need-to-know basis, and administrative actions are logged against the account that performed them.

We maintain an information security programme aligned to ISO 27001 practice, including access reviews, patching, backup testing and an incident response procedure. Where a personal data breach is likely to result in a risk to your rights, we notify the relevant supervisory authority within seventy-two hours and inform affected individuals without undue delay.

Changes to this notice

We review this notice at least annually. Where we make a material change to how we use personal data, we will publish the updated notice here and, where the change affects an ongoing relationship, tell you directly.
